QUESTION: Do any providers loan out electronic devices (tablets, Chromebooks, etc.) for DSPs to complete their documentation while out in the community? If so, what kind of devices are you using? How do you ensure privacy/confidentiality? Do you pay for data plans or just use free Wi-Fi? Please share any additional information you believe would be helpful. For staff that are always in the community: we issue company owned laptops to complete documentation. Depending on the primary location of their position, we have mobile hotspots that are issued to those staff that would not have access to free Wi-Fi. We also have cellular iPads we have issued to staff to use for documentation. All community based staff also receive an iPhone or stipend for their personal phone. All documentation software is cloud based so security wise, nothing is stored on the device itself. All devices are encrypted as well. We provide laptops and internet in the homes where we provide more than 12 hours a day of services. We also have a desktop available in the office 24 hours a day if staff does not have a device to document on. If we have staff that need to use a device in the community, the device itself is password protected, and then the staff have to login to their actual account to do work. If they are off site, we have phones to use to create a mobile hotspot (also password protected). Our agency has a community based program and we require real time data entry. Our DSPs are assigned a small laptop and Mi-Fi device for data entry. We utilize Therap so they have to log on to the Therap system with a secure user name/ password. If the lap top would be stolen the confidential information could not be accessed. All Client information, releases, annual paperwork is scanned into Therap so we no longer have to utilize individual binders and the information is therefore better safeguarded. The lap top and Mi-Fi unit stays with the staff member until separation of employment. Currently we have about 75 devices assigned. We have attempted to provide electronic devices for community outings more than once over the years. A small percentage of DSPs embrace them. Most still wait until they return from the community to complete their documentation. I would recommend piloting a few devices before investing too much money and time in this. We have loaned tablets to our staff for electronic shift notes. We use Samsung Tab E tablets. We provide data plans (through T-Mobile) unless there is Wi-Fi available at the client residence. We have tablets, Chromebooks, and laptops for different staff to use. Depending on what position, type of setting and job responsibility determines what device you get. We do have some hot spots that staff can use again if in certain positions, otherwise they can use Wi-Fi at a setting or in public to complete their paperwork. Staff have signed a HIPAA agreement that they will keep information secure and protect client privacy. We do not loan devices, and expect documentation to be completed currently in company locations. We have not yet determined how to respond to EVV. We do not use for DSP's but use for Team Leads, Coordinators and Employment Consultants. We use Chromebooks - some have data plans and some are just Wi-Fi depending on location. We have passwords and then all of our systems are Cloud/Web based so we have all of those systems secured. The Chromebooks are not capable of having downloads nor do we have staff save anything on them - again all web based.
