QUESTION: The company our agency utilizes for employee criminal checks does not do a State Repository Check, only National and County. Do any other agencies utilize companies that follow this same practice? If so, have these criminal checks been sufficient for DDRS/BQIS reviews? Are there any other companies that agencies would recommend using for employee criminal checks? The company our agency utilizes follows this same practice. We were audited and received a citation because the State Repository Checks were not on file. Even though we were informed that the information in the National and County checks are from the same source and contain the same information as the State Repository, we were directed to complete the Indiana check separately in order to be in compliance. *** The company our agency utilizes, Safe Hiring Solutions, for the criminal and background check does offer to run the State Repository Checks. However, we do the state checks ourselves because we applied for a no cost waiver to run them as a not for profit agency. *** Our agency utilizes a service called Intellicorp to complete the county background checks. We will then go through the Indiana State Police get a state background check. This process has been compliant with DDRS, BQIS and CARF guidelines. *** Our agency utilizes Safe Hiring Solutions for our background checks. State standards still require the Indiana State Police criminal history checks be completed through the Indiana State Police site, which is accessed through the www.IN.gov website. These checks are done at no cost if an account is set up for your agency. This can also be done via the www.IN.gov website under “Subscriber.” *** Our agency utilizes Intellicorp, which covers the national, state and county level background checks. The cost is approximately $18.00 for Intellicorp and $15.00 for the state check each time. There is a reduced cost if your agency is a not for profit. This process satisfies the requirements of BQIS. *** Our agency has developed somewhat of a hybrid method of conducting background checks. We contact several counties in Indiana directly, as they will provide the information at no charge. We use SARMA/MAF for checks that we cannot complete ourselves (www.mafscreening.com). We have been mostly satisfied with the service, notwithstanding some computer issues and customer service issues, but our records have met standards with auditors to date.
